Wolgan - Privacy Policy

Wolgan ("we", "our", or "the App") is a professional water treatment report management application. This Privacy Policy explains how we collect, use, store, and protect your information when you use the Wolgan mobile application.
1. Information We Collect
Account Information
- Email address - used for authentication and account recovery
- Full name - displayed within the app for identification
- Phone number (optional) - stored for contact purposes
- User role and permissions - used to manage access within your organisation
Report and Business Data
- Client information - business names, contact persons, phone numbers, and addresses of your water treatment clients
- Project and site data - project names, locations, descriptions, and reference numbers
- Water treatment system data - system names, descriptions, and operational parameters
- Report content - water quality measurements, parameter values, observations, recommendations, and report metadata
Media and Signatures
- Photos - images captured via your device camera or selected from your photo library, used as report attachments
- Digital signatures - staff and client signatures captured within the app for report verification
Technical Data
- Device information - operating system version and device type, collected automatically by our infrastructure provider
- Authentication tokens - securely generated tokens to keep you signed in
2. How We Use Your Information
- Service delivery - to create, store, manage, and export water treatment reports
- Authentication - to verify your identity and manage access to your account
- Data synchronisation - to sync your data across devices and enable offline functionality
- PDF generation - to produce professional report documents for sharing and printing
- Dashboard analytics - to display report statistics and trends within the app (visible only to you and your organisation)
3. Data Storage and Security
Cloud Storage
Your data is stored using Google Firebase infrastructure, which includes:
- Firebase Authentication - for secure email/password authentication
- Cloud Firestore - for storing report data, client information, and application settings
- Firebase Storage - for storing photos and signature images
All data is encrypted in transit (TLS) and at rest using Google Cloud's encryption standards.
Local Storage
The App stores data locally on your device to enable offline functionality. Local data is synchronised with the cloud when an internet connection is available. Local data is stored in an encrypted database on your device.
Security Measures
- All network communication is encrypted using TLS/SSL
- Passwords are securely hashed and never stored in plain text
- Role-based access control restricts data access within your organisation
- Authentication tokens are securely managed by Firebase

We do not use any analytics, advertising, or tracking services. We do not sell or share your data with third parties for marketing purposes.
5. Device Permissions
The App requests the following device permissions:
- Camera - to capture photos for report attachments. Only accessed when you explicitly choose to take a photo.
- Photo Library - to select existing images for report attachments. Only accessed when you explicitly choose to pick a photo.
These permissions are optional and the App will function without them, though photo attachment features will be unavailable.
6. Data Retention
- Your data is retained in the cloud for as long as your account is active
- Local cached data is cleared automatically after successful synchronisation with the cloud
- You may request deletion of your account and all associated data at any time by contacting us
- Upon account deletion, all personal data, reports, and associated media will be permanently removed from our systems within 30 days
7. Your Rights
You have the right to:
- Access your data - view and export your reports as PDF documents at any time
- Correct your data - edit your reports, client information, and profile details
- Delete your data - request complete deletion of your account and all associated data
- Export your data - generate PDF reports containing your data
- Withdraw consent - revoke device permissions (camera, photo library) at any time through your device settings
8. Children's Privacy
The App is designed for professional use and is not intended for children under 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal data from a child under 16, we will take steps to delete that information.
9. International Data Transfers
Your data is stored on Google Cloud servers. Data may be processed in countries where Google operates data centres. Google complies with applicable data protection regulations for international data transfers.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by updating the "Last updated" date at the top of this policy. Continued use of the App after changes constitutes acceptance of the updated policy.
